1. Who we are

Arrevox is invoice reminder software provided by AZZURRO BLUE LTD, company number 16877685.

2. Information we collect

• Account information — name, email, login details, authentication identifiers.
• Company settings — company name, sender name, reply-to email, branding, logo, payment link, email signature.
• Invoice/reminder information — customer names, customer emails, invoice references, amounts, due dates, reminder tone, generated content, edited content, send history.
• Payment/subscription data — Stripe customer/subscription references, plan, payment status. Arrevox does not store full card details.
• Usage data — generated reminders, emails sent, account activity.
• Technical data — IP address, device/browser data, logs, cookies and similar technologies.
• Support/contact data — messages sent to sean@azzurroblue.co.uk.

3. How we use personal information

• provide Arrevox and user accounts;
• generate invoice reminder content;
• send emails requested by users;
• save company branding/settings;
• manage subscriptions and billing;
• protect the service from abuse/security issues;
• improve the product;
• respond to support requests;
• comply with legal obligations.

4. Lawful bases (UK GDPR)

• Contract — to provide Arrevox and the accounts and features you request.
• Legitimate interests — to run, secure and improve the service.
• Consent — for optional non-essential cookies/marketing where required.
• Legal obligation — to meet accounting, tax and other legal requirements.

5. Processors and sub-processors

We use trusted service providers to operate Arrevox:

• Clerk — authentication.
• Supabase — database and storage.
• Resend — email sending.
• Stripe — payments and subscriptions.
• OpenAI — AI-generated reminder content.
• Vercel — hosting and deployment.
• Meta — the Meta Pixel for advertising measurement and retargeting, used only where you have enabled and consented to advertising cookies.
• Namecheap/domain services — where relevant.

6. Customer data uploaded by users

Users may enter customer or invoice information into Arrevox. Users are responsible for ensuring they have the right to use that information and to contact those customers.

7. AI-generated content

Arrevox uses AI to help draft reminder content. Users should review and edit generated content before sending. Arrevox does not guarantee accuracy, legality, payment recovery, or suitability for every situation.

8. How long we keep data

We keep account, company, reminder, usage and billing records for as long as needed to provide the service, meet legal/accounting obligations, resolve disputes, and maintain security. Users can request deletion by emailing sean@azzurroblue.co.uk, subject to legal or operational retention requirements.

9. Sharing information

We do not sell personal information. We share information only with service providers needed to operate Arrevox, where required by law, or where necessary to protect rights/security.

10. International transfers

Some providers may process data outside the UK. Where this happens, appropriate safeguards should be used by those providers.

11. Your rights

Depending on the circumstances, you may have the right to:

• Access your personal information;
• Correction of inaccurate information;
• Erasure of your information;
• Restriction of processing;
• Objection to processing;
• Data portability;
• Withdraw consent where processing is based on consent;
• Complain to the ICO (Information Commissioner's Office).

12. Security

We use reasonable technical and organisational measures to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
